Create Quote in Admin
While most quotes come from customers via your storefront, you often need to create them yourself—for example, when taking a phone order, negotiating a custom deal, or setting up a draft for a B2B partner.
This feature allows you to build a complete quote, set custom prices, and send a professional proposal without the customer lifting a finger.
1. Start a New Quote
Go to Request for Quote → Quote Request.
Click the Create New Quote button at the top right.
You will see a blank quote form with a status of Under Review.
2. Select the Customer
First, define who this quote is for.
Search Customer: Type the name or email in the search box.
B2B Context (Shopify Plus):
If you select a B2B Customer, an extra option appears.
You can choose to create a "Personal Quote" (for the individual) or select a specific "Company Location".
Why this matters: Selecting a Location automatically pulls in that company's specific billing/shipping addresses and tax rules.
Verify Info: The Name, Email, and Address fields will auto-fill based on your selection. You can edit the shipping address for this specific quote if needed.
3. Add Products & Set Prices
This is where you build the deal.
Click Add Product to open the product picker.
Search for items and select the variants you want.
Adjust Quantities: Set the number of items.
Set Your Price:
Line Price: This is the standard calculated price (based on the catalog).
Quote Price: This is your override. Enter the special price you want to offer the customer.
Example: The product normally costs $100. You want to offer it for $90. Enter 90 in the Quote Price field. The totals will recalculate based on your custom price.
4. Configure Payment & Shipping
Define the final landed cost for the customer.
Shipping: Click Add shipping rate.
Existing Rate: Choose a standard rate from your store settings (e.g., "Standard Shipping - $15").
Custom Rate: Create a one-off fee (e.g., "Pallet Delivery - $150").
Tax: Use the Charge Tax checkbox.
Checked: Shopify calculates tax based on the customer's location.
Unchecked: The quote is tax-exempt.
5. Finalize and Send
Once the numbers look right:
Save: Click Save to store your changes. The quote is now safe in your system.
Send Proposal: Click Send Proposal Email.
Review the email subject and message.
(Optional) Check "Attach Quote PDF" to include a professional document.
Click Send. The customer receives the offer immediately.
6. Closing the Deal (Conversion)
When the customer replies and accepts the quote:
Open the quote again.
Click Convert to Draft Order.
The app creates a standard Shopify Draft Order with all your custom products, prices, and customer details locked in.
You can now send the invoice for payment or mark it as paid to fulfill the order.
Consistent follow-up ensures faster deal closure and fewer missed opportunities.
